How to use this template
- Fill in the brackets: your rate, your invoice day, your due date and how you want to be paid.
- Delete the optional late-fee line if you do not want one.
- Send it together with the cancellation policy and ask for a reply.
- Put the same due date and payment details on every invoice.

Payment terms for tutoring
1. Rates
Lessons are charged at [amount] per [hour / lesson / month]. [Subject] lessons are [amount]. Rates are reviewed once a year, with at least one month's notice of any change.
2. Invoices
I send an invoice [monthly on the 1st / weekly on Friday / after each lesson]. Each invoice lists every lesson with its date, so you can check it against the schedule.
3. Due date
Invoices are due within [7] days of the invoice date.
4. How to pay
Please pay by [bank transfer / QR code / payment link] using the details on the invoice. Put the student's name in the payment reference.
5. Late payments
If an invoice is more than [14] days overdue, I will send a reminder. If it is more than [30] days overdue, lessons pause until it is settled. [Optional: A late fee of [amount] applies after [30] days.]
6. Missed lessons
Missed and late-cancelled lessons are charged according to my cancellation policy, which you have already received.
7. Agreement
Please reply to confirm that you agree to these terms. They apply from [date]. [Tutor name], [phone or email]

Common questions
Should I ask for payment before or after lessons?
Monthly in advance is the safest for long-term students. Billing after the month is fine for families who have paid on time for a while. For new families, some tutors ask for the first month in advance.
Is a late fee a good idea?
It is optional. The written rule about pausing lessons usually does more than the fee. If you include a fee, keep it small and apply it the same way every time.
What payment details should go on the invoice?
Whatever the family already uses: bank account details, a bank QR code, or a payment link. In Tutitor these print on every invoice, so you do not retype them.
Do I need a lawyer for this?
For ordinary private tutoring, no. A clear written message that the parent agrees to is enough in most places. If you are unsure about local rules, ask a local adviser.
